Budget Review sheet - Summarize expenses, income, and budgets by month or quarter

Overview

This sheet provides

  • a summary of past transactions by category by month or quarter,
  • two budget review sections, which compare actuals to budgets, for the year and the month or quarter, and
  • a section to review underlying transactions without leaving the sheet.

I’ve used a pivot table similar to this sheet to review my spending and income and compare it to previous months. This sheet makes it easier to check that I’m within budget and to see the underlying transactions.

Installation

Requirements

Your Tiller spreadsheet must contain these core sheets: Transactions and Categories.

Copy to your Tiller spreadsheet

  • Open my shared spreadsheet: SHARED Tiller Foundation Template - Google Sheets
  • At the bottom of the window, right-click on the Budget Review tab and select Copy to, then Existing spreadsheet.
  • Select your Tiller spreadsheet in the window that appears and click Insert.
  • The sheet will appear in your spreadsheet as Copy of Budget Review. You can rename it.

To uninstall

  • Right-click on the sheet’s tab at the bottom of the window and select Delete.

Setup

The sheet should automatically populate with your transaction and budget data. It assumes that your fiscal year ends on the last month in your Categories sheet. The end of your fiscal year can be set manually in the hidden columns past the right side of the sheet.

(Your Transactions sheet must have both Income and Expense transactions categorized, or you won’t see any data. This is a bug, but not a high-priority one, because the sheet isn’t useful if you haven’t categorized your transactions.)

Usage

Click on the plus buttons plus above the line of column letters to expand the different sections.

Select month(s) to review in the Month section by checking the boxes above the months. Select month(s) plus a category or categories to review in the Transactions List section by checking the boxes to the left of the categories.

Permissions

Free for personal use. If you share this sheet, here or elsewhere, modified or not, please link back to this post.

Changelog

0.94 (2025-02-28)

  • Stops uncategorized transactions from appearing in the Transactions List when no category is selected.

0.93 (2025-02-27)

  • Adds option to display data by quarter.
  • Uses the last month on the Categories sheet as the end of the fiscal year; provide manual override.

0.9 (2025-02-09)

  • Initial release

Rob, very nice work. Do you have any plans for an Excel version?

I don’t – it’s not a complicated sheet but porting wouldn’t be trivial because I relied heavily on Sheets’ query function.

Good work. Is it possible for the year-to-date to align with the fiscal year on the categories sheet, i.e. instead of 1/1/2025 to 12/31/25 to say, 2/01/25 to 3/31/26

Yes, I can add this. How is the fiscal year reflected on your Categories sheet? Is the last month column the end of your fiscal year?

The fiscal year is July-June

I’ve uploaded an update to my shared sheet. The new version (0.93)

  • Assumes that the end of your fiscal year is the last month on your Categories sheet. @adekunledauda, the Year-To-Date view should now align with your fiscal year. Let me know if you encounter any problems.
  • Adds the option to summarize by quarters rather than months.

I have been using this budget review spreadsheet and I ADORE It! It is such a great tool so thank you so much for creating it!

I am in the process of creating my 2026 budget in categories and I thought it would automatically add 2026 in the budget review spreadsheet when I added the columns in the categories sheet and populated the budget, but it didn’t. I must be doing something wrong. Can you help me to get 2026 showing at the top of the budget review spreadsheet? Thank you so much!

Hey @cjanetzke ,

Welcome. I’m glad you find the sheet useful!

It sounds as if you added columns for 2026 to the right side of your Categories sheet. The Budget Review sheet won’t show data for 2026 (budgets or actuals) until 2026. If that doesn’t answer your question, can you tell me a little more about what you’d like to see in the Budget Review sheet?

Oh my gosh! How silly of me! I thought it would show blank columns prior to the start of the year. That’s all I needed! Again, thank you for creating this awesome spreadsheet - it is my go-to sheet!!

Hi @avi.fico ,

I’m sorry you’re having trouble. I’m not sure what new sheet you created/copied. The Budget Review sheet doesn’t need to be re-created or copied for the new year. It should automatically pick up your 2026 budgets (from your Categories sheet) and actuals (from your Transactions sheet). If it can’t find 2026 budget data on your Categories sheet, it will show this error:

Really loving this sheet @rhowell been using it for the past few months and have began replicating it across my many linked sheets.

Ran into a similar issue as others have stated, that when copying into a new sheet with 2026 Budget Categories it didn’t work, despite it working upon direct copy in 2025.

In addition, could I request a feature for you to add in “Groups”? Would love to leverage that to help with simplifying and categorizing the expenses further with subtotals too.

Either way, thank you again for this amazing contribution to the community, big part of why I keep using Tiller!

Hi @KW-NYC

Sorry you’re having trouble. I see that there’s a problem copying the Budget Review sheet into a newly-created sheet. I’m looking into it, will get back to you.

@KW-NYC In the new sheet, have you categorized any transactions?

I was wondering if my custom categories was causing an issue. So I repasted in the Foundational Category, deleted your Budget Review sheet, than copied over a new one from your template. But that still didn’t work.

Below is my custom categories, and sample of transactions categorized

But still seeing an error whether the Categories are filled in or not in the Transactions sheet

Thanks for taking a closer look again!

Thanks for helping to troubleshoot. Have you categorized transactions that are both Income and Expense types? What is the error message in cell T3?

Wow that was the fix! Had to categorize both income and expense type transactions!

It’s working beautifully now  thank you!
