Several years of data, since 1/1/2024, are in my Google Transactions sheet. New downloaded transactions have always appeared chronologically in rows at the bottom of the transactions sheet.
For viewing convenience I want to hide the rows of all the 2024-2025 transactions so I only see 2026 transactions. So I Hide all the rows of 2024-2025 items. This leaves 2026 for viewing with the most recent 2026 trans in rows at the bottom.
Cool.
But for some reason when I return to the Google sheet, the still viewable 2026 rows are now sorted upside down — with most recent trans at top and 1/1/2026 at the bottom. What the heck! And, ironically, if I then unhide the 2024-2025 rows, they are still in the correct order, 1/1/2024 at top and 12/31/2026 at bottom of their range of rows. But the 2026 rows of transactions that follow are now date-sorted upside down.
What is causing this? Why doesn’t the entire registry stay in the proper row order, oldest at top, newest at bottom. Why does hiding older transactions produce this odd mix-mash sorting?
I think when new transactions arrive they go to the bottom of the sheet, and then a descending sort is done. You might try using a filter to hide the old transactions instead of manually hiding them. You could filter the Date column so “Date is after” only shows the newest based on the cutoff date you choose.
Sorry, I’m not Google savvy enough to know exactly how to create View Filters. Never done that. And so far my Gemini searches haven’t provided me with good step-by-step instructions.
I know enough not to screw with the query! But not sure how to actually create the additional View Filter to hide the 2024 and 2025 transactions. I assume I would create a new View Filter and that will involve a logic formula to apply to column B, i.e. the dates. where =B>1/1/2026 ( or whatever the correct syntax is for filtering dates). Just not familiar with the steps (nor the actual syntax) to set this up.
Than in the menu bar at the top, click data, then create a filter. The filter menu will open, one of the options is to filter data by value. Select if date is after.
No joy from the helpful Video (or my many Gemini searches). I don’t get to see the subsequent various filter choices when clicking on Data > Create a filter. None of those choices seen in Gemini searches or the suggested video show up for me. Hit a wall.
I have applied a filter, not created a filter view. And from there you can filter each column. If you pick from the date, filter by condition, you can choose to show after 12/31. However, I will say that as far as I know part of the fill process is to sort descending order. I am not sure how to change that. I think seeing newest transactions is the easiest for many people. I would hate scrolling to the bottom to see new data.
OK, Finally got it! The trick to be able to see all the filter options was, after clicking on Data Create Filter, you have to also go to the DATE column header cell and also click on the little inconspicuous three bars. Bingo, all the filter options show up. Yeah!
For three years newly downloaded entries have always posted as new rows at the end of the database. That works and seems more natural for me. Adding transactions to any ledger has always been early at top and later transactions at the bottom. Different strokes for different folks, huh?
But it did mean that I had to Hide or Filter older transactions (e.g. 2024 and 2025 in my case.) for normal viewing.
